BOOKING TERMS AND POLICIES
By booking a tour with us, you acknowledge that you have read, understood, and agreed to abide by these terms. If you are making a booking on behalf of others, you confirm that you have the authority to accept these terms on behalf of all participants in your group.
THE BOOKING CONTRACT
Your booking is confirmed, and a contract is established once Enclose Africa Safaris, or your travel agent, issues a written confirmation upon receiving a 60% deposit of the total amount. We advise you to review your confirmation carefully and promptly report any inaccuracies to us or your authorized agent. Please ensure that the names provided match the relevant passport details.
The agreement takes effect after the 60% down payment or security deposit, which includes a non-refundable Gorilla permit booking fee (USD 1500 for Rwanda, USD 800 for Uganda, or USD 400 for DRC).
If you are booking on behalf of others, you represent that you have obtained all necessary consents and are responsible for the accuracy of the information provided. Enclose Africa Safaris is not liable for any errors or omissions in the provided details.
GENERAL PAYMENT TERMS
- A 60% deposit of the total amount is due within 7 days of reservation.
- The remaining balance must be paid 60 days before the tour begins.
- For bookings made 7-59 days before arrival, the full amount is charged immediately.
Payments should be submitted following the invoice sent to the provided email. Credit card payments are accepted upon contacting and authorizing the sales office. Payment dates do not impact cancellation terms, and clients are responsible for any money transfer fees.
COMPLAINTS
Any complaints regarding the tour, safari vehicle, or property conditions must be reported immediately. Urgent matters requiring immediate attention should be communicated via our 24/7 service line. Additionally, feedback can be provided in writing by email. Complaints raised after the tour will not be accepted.
SPECIAL REQUIREMENTS
Any special requirements must be disclosed at the time of booking. While we will make every effort to accommodate such requests, fulfillment cannot be guaranteed.
MANDATORY INSURANCE REQUIREMENTS
Personal injury and emergency medical expenses must be covered by insurance. We strongly recommend extending coverage to include cancellation, curtailment, and other unforeseen expenses. Insurance is not included in the tour cost, and you must obtain it independently.
CANCELLATION BY THE PARTICIPANT
Cancellation fees are calculated based on the date of the cancellation request, as a percentage of the total tour price:
- 30-45 days before departure: 25% cancellation fee
- 15-30 days before departure: 50% cancellation fee
- 1-15 days before departure: 100% cancellation fee
Please note that gorilla permits are non-refundable once booked and paid. No refunds will be provided once the safari has commenced, and there will be no reimbursement for unused services, tours, accommodations, or inclusions.
TRAVEL DOCUMENTS
It is your responsibility to ensure that you have all required documentation for entry, departure, and travel, including a valid passport, visas, permits, and certificates. You are responsible for any costs related to missing or incorrect documentation.
FLEXIBILITY & UNUSED SERVICES
Adventure travel requires flexibility, and Enclose Africa Safaris reserves the right to modify products, services, or itineraries due to unforeseen circumstances. No refunds will be issued for unused services after departure.
PASSPORT AND VISAS
You must possess a valid passport and obtain all necessary visas, permits, and certificates for the countries you will be visiting. Your passport must be valid for at least six months beyond the trip duration.
PHOTOS AND MARKETING
You consent to the use of images taken during the trip for advertising and promotional purposes.
PRIVACY POLICY
Any personal information collected will be used for trip operations and marketing purposes, following our privacy policy, which is available on our website.
